Health and Safety Policy

It is the policy of the company to comply with the terms of the Health and Safety at Work Act 1974 and related legislation and to provide and maintain a healthy and safe working environment. The company health and safety objective is to minimise the number of instances of occupational accidents and illnesses and ultimately to achieve an accident-free workplace.

The company is committed to implementing this policy statement through its integrated QEHS management system, all associated procedures and practices in all aspects of our business scope of activities. We are committed to attainment of company and client requirements, and recognise that continually improving our performance is a key factor in our continuing business success. We ensure that the appropriate procedures cover all applicable environment, quality, and health and safety areas of our business and our operations.

All employees will be consulted in all matters of health and safety within the company and where appropriate, employees will have a direct input into policy formulation.

Objectives

  • To ensure that all staff and sub-contractors are aware of and compliant with XI Health and Safety Policies.
  • To ensure that XI Training’s reported accident rate is zero on an ongoing basis (internal at XI premises, external on site at customer’s premises and travelling to and from by car)
  • To ensure that all physical XI Training material/ PPE kit is inspected and replaced where necessary - immediately, at least every 6 months or according to the manufacturers or installers instructions.
  • To ensure that all material defects, incidents and corrective actions are reported and highlighted at the quarterly management meetings.
  • To minimise the occurrence of transferrable illness by means of physical contact (cold, flu etc) by placement of sanitising gel in office and kitchen areas – placement and communication.
  • To ensure that all personnel are aware of and updated with the regulatory legislation that applies to the delivery of XI Training’s courses and services – by exception and reported as it arises, at the quarterly management meeting.
  • To ensure that all clients/ delegates/ visitors to XI Training are made aware of the potential hazards relating to participating in activities on or by visiting, XI’s premises – ongoing and monitored via the quarterly management meetings.
  • To ensure that all XI’s health and safety policies and initiatives are posted on the reception notice board and updated in a timely manner there-after.

While the management of the company will do all that is within its powers to ensure the health and safety of its employees, it is recognised that health and safety at work is the responsibility of each and every individual associated with the company. It is the duty of each employee to take reasonable care of their own and other people's welfare and to report any situation which may pose a threat to the wellbeing of any other person.

An effective health and safety programme requires continuous communication between employees at all levels. It is therefore every employee's responsibility to report immediately any situation which could jeopardise the wellbeing of themselves or any other person.

XI Training has a commitment to Health & Safety and confirms that it will:

  • Ensure good H&S practices throughout the business so far as is reasonably practicable.
  • All employees will be provided with such equipment, information, training and supervision as is necessary to implement the policy and achieve the company's annual improvements plan (H&S objectives).
  • Allocate appropriate finance and resource where appropriate to improve H&S throughout the business through compliance monitoring.
  • Report all RIDDOR categorised accidents, incidents, near misses or dangerous occurrences.
  • Protect the health and safety of all visitors to the company, including contractors and temporary employees, as well as any members of the public who might be affected by our operations.
  • Provide every employee with the training necessary to carry out their tasks safely.
  • Providing sufficient resources for the management of Health & Safety.
  • Setting & monitoring safety objectives through the company's annual improvements plan/ management meetings.
  • Aim to continually improve our safety performance through compliance monitoring and feedback.

XI Training will always provide clear instructions and information to ensure all staff are adequately trained and competent to do their work:

  • XI Training expects all employees, delegates/ learners or associates, site visitors and suppliers to take responsibility for their own health and safety via:
    • Employment contract obligations
    • Supplier contract obligations
    • Tool box talks where appropriate prior to commencement of specific projects
    • Completion of Risk Assessment documents in relevant areas/ situations where they are expected to operate.
  • The process for undertaking risk assessments is explicit/ inherent within XI Training’s own approach to delivering training course/ daily business including where subcontractors are employed within XI Training or clients’ premises:
    • Risk Assessments are requested/ completed prior to contractors commencing work and logged onto XI Training’s QMS (Quality Management System)
    • Risk Assessments are created for regular projects/ tasks and logged on the company’s QMS
  • Due to the practical nature of work at height training, the company’s trainers provide close and continuous supervision of delegates/ learners to ensure climbing PPE is correctly fitted in the first instance and used competently in the second. Trainer to delegate to ratios for climb and rescue courses is 1:6 while Roof Top application courses is 1:8. Classroom courses have ratios of 1:12.
  • Specific aspects where risks may be higher, such as issues related to plant and equipment or use of hazardous substances are normally dealt with as specialist projects where specialist contractors or employed personnel are used to expedite the task or project.
  • PPE (Personal Protective Equipment) requirements (governed by PPE Directive 89/686/EEC) are a normal part of everyday activity for the company and use and inspection of, is a fundamental element of most courses that XI Training delivers – also refer to Document QP-19 PPE Inspection Procedure on XI Training Quality Management System.
  • All accidents and near misses should be dealt with appropriately in terms of treating affected casualties without delay/ treatment administered by nominated First Aiders; this includes ensuring affected area (where appropriate) is made safe. Thereafter, accidents and near misses must be entered into XI Training’s Accident Book, providing details of those involved, nature of the accident and injuries/ timescale for investigation and by whom.

All accident and near miss investigations will include full participation of non-management employees as well as managers to identify and eliminate root cause.

  • Investigation outcomes must be entered to conclude incident. Where an accident occurs relating to any MATS, Arqiva or LANTRA or externally awarded/ accredited course, the accreditation body must be informed/ included in communications until investigation/ incident is concluded.

  • XI Training complies with the COSHH Regulations (Control of Substances Hazardous to Health),and manages a limited number of everyday substances accordingly. The relevant data sheets and risk assessments reside in the COSHH folder within the H&S section.
  • The Health and Safety poster is located in XI Training’s reception area, on the left-hand wall adjacent to the entrance of the office/ administration room.
  • The First Aid Box is located by the main door of the workshop on the left/ inside the main, large workshop area.
  • The Accident Book and follow up investigation form is located adjacent to the Health and Safety poster on the left-hand side of the entrance to the office. Both forms are available on the server. Accident Book (HSP-13), Accident Follow Up (HSP-12) and Near Miss Registration and follow up form (HSP-14)
